Private invitation code for your events

Creating invitation codes for your event will come in useful when you want to restrict the registrants who can sign up for that event. For instance, if you have a conference that offers free tickets to a group of VIPs, you can create invitation codes for these attendees and have them apply the codes at the point of registration to gain exclusive access to the complimentary tickets.

Here’s a quick video guide.

Before creating the invitation codes, you need to enable the private event settings. The following is the detailed step-by-step instruction on how to enable the private setting for your event:

  • Go to Manage My Events -> Manage

  • Choose Settings -> Registration Settings

  • Choose Private Invitation Code, then enable the settings and choose the eligible ticket type for the invitation. After everything’s set, click on Save Changes

Now that we have enabled the private event settings let’s create the invitation code. You can go directly from the page or follow these instructions for creating the invitation codes.

  • Go to Manage My Events -> Manage

  • Choose Manage -> Invitation Codes

    • Create an Invitation code
      This feature allows you to create one code at a time

    • Create Bulk Invitation Code
      This feature allows you to create multiple invitation codes at the same time and can be useful to create some code based on ticket/attendees type (example: Partners, Media, VIP)

  • Enter the invitation code & select the eligible tickets for the code

  • For a more advanced settings, you can add:

    • Limit Minimum and Maximum Quantity Selection Per Ticket Type
      Set the minimum and maximum quantity of your invitation code (per order) based on your event special requirements. For instance, if you want to run a minimum purchase for the invitation code then simply set your discount code to a minimum 3

    • Limit Usage Count
      Set the limitation for your invitation code, especially if the code is an exclusive/limited one. For instance, an invitation code created for 25 exclusive attendees then simply set the number to 25 (preventing the discount code to be shared with others)

    • Valid Period (optional)
      Set the validity period of your invitation code. For instance, the code made only for this month then sets the code’s validity with a start and end date. This feature can be used to run a tactical promotion such as Early Bird.

  • If everything’s done, click on Create to save all the settings.

Note: You can try to use your new invitation code on the registration page by clicking on the Site Url on the top right. Invitation codes cannot be deleted, but you can toggle the Enabled/Disabled if you want to make the code active/not active.

To enable the usage of the invitation code, you have to go to Registration Settings > Private Invitation Code and to slide the toggle for "Registration with Invitation Code".

This would enable registrants to enter the invitation code when they select the ticket type you set it to, as seen below:
